Creating a Reservation/Booking

There are a number of ways to start entering a new reservation/booking on Hop:

 

Manage Reservations




In the top right corner of the screen, click on the "Create New" button. Select the arrival date and departure dates, choose a room type and select a rate plan. In the "booker" field, type in the name of the guest, if they have already stayed with you, an entry from your CRM database will populate this field and will appear underneath the name field, or, if not, click on the "+" symbol to the right of that field to add the guest in your CRM database. Click on "Next" and you have the option to allocate a room at this stage and lock the room, add configuration (double/twin etc.) then click "Next" again and on the next tab, you will now see all the charges associated with the booking. Check and update these as needed and then click "Next" once more to see a summary of the booking. This is where you can add a deposit or store a card for later use. To store a card, just add 0.00 as the amount and fill out the card details and this will store the card. Alternatively you can add a deposit/full payment by adding partial or full amount of the accommodation in the amount field. 


Once you are ready to complete the booking, you just need to decide whether to create a confirmed booking or a provisional booking (which needs an expiry date before the arrival date if choosing provisional) and click either "Create Confirmed Reservation" or "Create Provisional Reservation" depending on the requirements. 

 

Sales View



We recommend making a reservation from this screen if you're unsure of your rates and you are taking a booking over the phone or a walk in and need to provide at the start. You will be able to see your rates and availability under one screen and also before you need to put any guest details in before moving forward. 


To make a reservation from this screen, simply carry out a search by filling out the relevant fields at the top (arrival date, room type, rate plan etc.) and click "Search" then click on the rate itself to create the reservation. Make sure you're selecting the correct rate plan and room type by checking the rate plans on the left side and the room types at the top of the table. It will then take you to the same layout as when making a reservation through Manage Reservations and the Room Schedule and you will need to work your way through filling out the fields and using the "Next" button before selecting "Create Confirmed Reservation" or "Create Provisional Reservation". 


The "Arrival Rate" is the rate for one night and the "Full Rate" is the rate for the full stay. 


 

Room Schedule




Click the 'Create New' button as shown highlighted above, hover your cursor over the room and date required and "draw" a new reservation over the room for as many nights as required. This will then bring up the Create Reservation screen (same as Sales View and Manage Reservations) with the selected dates and room type, you just need finish entering the remaining booking details and clicking "Next" until you reach the summary and whether you want a confirmed or provisional reservation.
