Reservations - Room Schedule

This screen shows you a diary view with every reservation allocated to a room. 

Hover the cursor over a reservation for an overview or double-click on it to see further options.

You can choose to group the room schedule by room type, room category or room group by clicking on view options in the top left corner of the screen and ticking the respective boxes. 

Tick the ‘show unallocated’ box if you wish to see reservations which have not yet been allocated to a room. 

You can drag these to any room that is available (please remember to press the green ‘Save’ button afterwards) or double-click on the reservation to bring up further information.

Each reservation is colour-coded, dependent on the status of the reservation – there is a key above the right hand side of the Room Schedule that can be accessed by clicking on the word key.

 

 

 




Additionally, there is colour-coded dot on the left of a reservation to signify the payment status, as follows:



If the reservation item is configured to make ALL charges to Reservation Item Level: 


Reservation Item Balance = zero: Green (paid) 

Reservation Item Balance > zero but < total Reservation Item price: Orange (part paid) 

Reservation Item Balance = total Reservation Item price: Red (unpaid) 

 

If ANY charges are configured to be made at Reservation Level: 


Reservation Balance OR Reservation Item Balance > 0: Red (unpaid) 

Reservation Balance OR Reservation Item Balance < 0: Orange (prepaid OR overpaid)

Reservation Balance AND Reservation Item Balance = 0: Green (paid) 

 

Adding a new reservation 

In order to create a reservation from the room schedule, click the 'create new' button at the top of the screen. 

Hover your cursor over the room and date required, you can then 'draw' a new reservation by dragging your mouse over the room for how ever many nights required. 

This will then bring up the 'create reservation' screen with the selected dates and room type, then you will just need to finish entering the remaining booking details. 

   

Editing a reservation

When editing a reservation, click and drag a reservation to move it from one room to another, from one date to another, or to extend/shorten the length of stay. 

Please note that you must press the green ‘Save’ button in the top centre of the screen to save your changes otherwise they will be discarded. 

Also you won't be able to move a checked in reservation on the room schedule, you will need to undo the check in, move the room and then check them back in. Remember you may not be able to move the room if it is locked too. 


Adding a Service Status

You can set a room as out of inventory, out of order or out of service from here, by clicking the drop-down arrow next to ‘create new’ and select block to draw a service status over the room.

Editing a Service Status 

Click and drag the ends of a service status to change its length. 

Please note that you must press the green ‘Save’ button in the top centre of the screen in order to save your changes, otherwise they will be discarded. 

Alternatively, double click on the Service Status to see further details, add notes or delete it entirely.   


Room Schedule Toggle View 

We’ve introduced a new feature that allows you to customise the number of days displayed on the Room Schedule. You can now toggle between different views to better suit your needs: 

  • 1 Day – Focus on daily operations with a detailed view. 
  • 3 Days – Get a short-term outlook for quick planning. 
  • 7 Days – View a full week at a glance. 
  • 14 Days – Plan ahead with a two-week overview. 
  • Monthly – See long-term availability in a single view. 
     

Your selected view is cached on a user basis, meaning it will persist across sessions for a more seamless experience.
