How to ensure that VAT is being correctly applied

If you are VAT registered, the first thing to do is to go to Accounting Manager > Company Invoice Details and ensure that your base VAT rate is set in the 'Standard Tax Rate' field at the top of the page and that your VAT number has been inputted:


Once you have done both of these things, scroll to the bottom of the page and press 'Update Details' to save your changes. 


Next, head over to Administration > Articles and check that each of your billing articles has the correct VAT rate applied, as the VAT rate shown here is what will be used when the night audit runs or when you manually post a charge in the system. To edit an article, simply click on its name to open it up, scroll down to the 'VAT%' section, change the VAT amount and then press the Save button at the bottom to confirm your changes.


If you have a lot of articles and need to quickly scan through them, you may find it easier to export a list of all your articles to a CSV file and then sort through them this way. To do this, just press the blue Export CSV button in the top right corner of the screen.


If you have an EPOS system connected to Hop and wish to override the VAT on individual items on the till, please go to Accounting Manager > Article Sales Types and edit your sales types so that the below box is ticked:


Doing this will ensure that the VAT rate on your articles in Hop is being used rather than the VAT rate from your tills.


Finally, if you use an integrated accounts software such as Sage or Xero, you will need to go to Accounting Manager > Account Tax Codes and add into Hop a new tax code that corresponds with the one from your software. This will then look something like this:



These should then be associated with your articles in Administration > Articles to ensure that the correct tax codes for your revenue streams are going to be reported by Hop.
