This is where your key business settings are set. It is split into sections and at the end of each section there is an Update Settings button. You need to press this to save anything you have added or changed in each section. 

 

 

Night Audit

 

The Night Audit is a daily close of all transactions recorded against revenue articles, payments and deposit transactions. This process helps guarantee the accuracy and reliability of front office accounting. Here you can choose for the Night Audit to run automatically at a selected time, or you can decide against having a recurring Night Audit and choose to run it manually each day instead. Either way, once it has run, you will see the system update to the current date. Should the Night Audit be unable to complete, for example if there are rooms still to be checked in or out, an error message will appear, and you will have to address these issues before continuing. Now that the Night Audit has been applied, all reports such as Payments, Revenues and Trial Balance will be available for the closed day.





Logos

 

This is where you can upload a Property Logo, Property Image, Property Invoice Image and Self Check-in Image. You can change these images at any time by simply clicking the Change Logo button.

 


Property Terms & Conditions

 

If you use the Self Check-in feature this is where you can upload your property Terms & Conditions. Please note that the Terms & Conditions for your Booking Engine and App should be uploaded to Administration > Booking Engine instead.

 

Reservation Tags

 

This is where you can create tags with a specific name and colour so that they can be attached to a reservation. This is useful if you get a lot of bookings that stay for golf you can set up a tag and assign it the colour blue for instance. If you then edit a reservation and add the relevant tag, the tagged reservation will then be visible on the Room Schedule view so you can see at a glance which of your reservations are from golfers.



Property Settings

 

Here, you can set your property's default articles for accommodation, breakfast, EPOS, events, service charges and no-show charges. The only one of these that is mandatory for the PMS to function is the Article for Accommodation Charges as if this is not in place your Night Audit cannot run.

 

This section also contains settings to turn on or off such things as:

 

  • Charge Privileges
  • Automatic room allocation
  • Sending of Emails
  • Sales View exit pop up
  • Booking and Event source settings
  • Registration Card
  • Customer Sales Ledger (CSL)
  • Provisional Bookings
  • Estimated time of arrival / departure
  • Covid-19 Questionnaire

 


Property Details

 

This is for your property contact details and check in/out times and policies. Please click here for more information on check in/out settings and how they will display on the Booking Engine.



 

Manage Epos Settings

 

If your Epos system searches for guests on VIP Status, you can add all the tags here that mark the guest as a VIP.




Self Check In

 

If you are using a device for paperless check-in, you can add a personalised message here that will be displayed to your guests on successful check-in. You can also upload your terms and conditions here.



Hop Academy

 

We strongly recommend that you do not opt out of the Hop Academy or its notifications, as all users are required to go through the Academy process. This is to ensure a baseline level of knowledge and you may not be provided with further training or support if this is not complete.

 


SMS

 

If you are signed up to use our SMS functionality, this is where you can see your balance, update your "from" name and change your default sending times.

Push Notifications

 

This section is applicable to properties using the App as it will allow logged-in guests to be sent scheduled or ad hoc messages.
