Checking Guests into a room

To check in a guest, the respective room needs to be vacant and the room status set to clean. To vacate it, you need to check out the previous guest. This will set the room status to “vacant dirty”. To change the room status to clean, go to Housekeeping > Room Status and set it to “vacant clean” or “vacant clean inspected” by clicking the drop-down menu on the '"Status" tab. 



You can also change the room status by going to Room Schedule, double click on the reservation so the details pop up on screen and select the 'pencil icon' next to the room status and change it from the drop-down menu, then click the 'green tick' that appears once you have changed it, to save and a green success message will appear on the top of the screen. 

 

You then have a couple of options to check a guest in. You can either go to Reservations > Manage Reservations and click the drop-down arrow next to the RES or RESX number. Then choose 'Check In' if on the RES or 'Quick Check In' if on the RESX. 

The 'Quick Check In' option will check the guest in instantly. The 'Check In' option will take you to the 'Edit Reservation' page in Hop, which you would use if you need to retrieve any guest details on arrival, such as a car registration number or add charge privileges so the guest can charge food/drinks to their room. 

Once you're happy with the details, click the 'Save & Check In' button at the bottom of the page. Now the guest has successfully checked in. 



The other option to check a guest in is to go to the 'Room Schedule' an double click on the reservation so the details appear on the screen. At the bottom of that detail page you will see 'Check In' click this if you want to add more guest details or click the down arrow next to the 'Check In' button which will show 'Quick Check In'.

 


 

 



 

The last option to check in would be using the 'Bulk Check In' option to check in a number of rooms at one time. You can either check in all of the rooms due to check in for that day or you can check in X amount of rooms if you only want to check a few in. To do this go to Reservations > Bulk Check In and make sure the rooms are set to vacant clean first by clicking the top checkbox highlighted below, then click the 'Set all rooms to clean/vacant' checkbox. When you're ready to check in, make sure the top checkbox has been ticked so it selects all of the reservations, then click 'Check In Selected'. If you only want to check in a few rooms, manually click on each checkbox (instead of clicking the main checkbox at the top) then click on the 'Check In Selected' button.





You can also set the rooms you are checking in to 'Clean/Vacant' from the 'Bulk Check In' page if you know they have been finished by the housekeepers. If you want to select all of your check ins at one time, click the checkbox to the left of the 'Reservation' tab below and this will select all of your reservations due to check in.
