Adding a payment card to a reservation or room reservation

To add a payment card to a reservation go to Reservations > Manage Reservations and search for the required reservation either by RES number, name or arrival date.

If you are wanting to add individual cards for each guest on a group reservation or multi- room reservation, then you need to add to that specific guests' room on the RESX rather than the RES. 

Click on the '+' sign to the left of the RES number, this will show you all rooms on the group reservation and the names of the guests staying and this will open up the RESX. Find the room you want to add the card to and click on the down arrow on the RESX number and then select 'View Transactions' and click the '+Add Transaction' button at the top. Then fill in the details - (example shown on screenshot below). Click '+Add Transaction' button at the bottom. 

As this card belongs to the specific guest in this room (when adding a transaction from RESX when it is a group/multi-room booking) you would not tick either of the below tick boxes:

'Set as Primary Card'

'Link card to both Reservation and Reservation item?'

The 'Virtual Card' tick box is used for when a guest pays through an OTA such as Booking.com or Expedia and the OTA sends a virtual card with payment on for you to take. 

If you're adding a payment card to the RES side of a reservation, ensure you click the drop-down arrow next to the RES number and then follow the same steps. 

When storing a card for later use, add the amount as 0.00 and this will then be saved for you to use at a later date. 

Please note if you see a red margin around the 'Card Number' box (as shown in the image below) this means that the card number is incorrect so please be careful when typing in the details.

When you want to take a payment later, the card you added will be under 'Existing Card' - follow the same steps as above and when you click '+Add Transaction' button and add credit card as the 'Payment Method' you will see the 'Existing Card' button appear, click this and then you will be able to choose the card from the drop-down menu under 'Existing Credit Card'. 

Please note - Once you have added the card to be stored, only the last 4 digits of the card number will be viewable in accordance with data protection.
