How to grant a user access to specific areas of Hop

There may be times when you need to give certain individuals access to a section of Hop that falls outside of the generic Hop Roles that are already in the system.


In this situation, you can add an "Activity" onto their user profile to allow them to do this. For example, you may have a Night Porter who does not need to access Hop on a regular basis but it would be useful for them to be aware of how many guests are in house at a given time, and how many are likely to check in or out whilst they are on duty. You can therefore go to Users > Manage Users and add the following Activities onto their profile:



Alternatively, you may have an employee who needs to access all of the Front Desk reports in order to carry out their role. In this case, you can add the following Activity onto their profile:



Finally, you may have an outside Marketer or Web Designer who you wish to help with your guest communications. In this case, you could create a profile for them that only provides access to the sections of Hop that deal with the setup and configuration of your template emails:



For help in managing your user accounts, you can also go to Users > Manage Users and at the bottom of the page you will see these two buttons:



Clicking on 'Permissions and activities' will bring up a list of the individual Activities that are associated with each Hop Role in the system. Clicking on 'Navigation and activities' will bring up a list of the main areas in the PMS and which activity is needed to access and edit them.
