How to add extra notes to a reservation confirmation

If you wish to personalise your standard confirmation email and add extra notes that are specific to an individual reservation before the confirmation gets sent, you can do this in Hop.


 

1. Go to Administration > Email Templates and click on the name of your confirmation email. 


 

2. Find a suitable point in the text box where you would like your additional notes to appear and add in the new "custom field" we have set up called [[NotesForGuests]] (this is where the notes that you add will pull through into the email) such as shown below:


 

 

Please remember to click '+Insert Field' when choosing your custom field so it pulls across correctly into the text box. If you type '[[NotesForGuests]]' this will not work and it won't pull through any data. 

 


 

3. Save your updated email template.


 

4. When creating a reservation, at the bottom of the Summary tab just before you complete the booking you will see a tick-box called 'Notes for guest'. Click on this and a text box will appear for you to enter your comments:


 


 

6. Now, when you complete the booking, the email confirmation will go out with these notes included in the place that you specified earlier on the template.
