In this guide we will take you through how to set up your HopGift portal and how to redeem vouchers in Hop. 

Use the following link to log into the HopGift portal  app.hop-gift.com

 

 

Settings – 

First you will need go to your settings and complete your company profile and link up your payment provider via either Stripe or Ryft. 

Ensure you add an email for your orders to be received too and add in your Terms & Conditions.

Add your company logo and branding in ”Website & Branding” 

Create the payment methods you wish to accept i.e. Cash, Credit Card

Create the delivery methods and costings for each. ** Important to note any postage orders MUST be fulfilled by the hotel it is your responsibility to post any vouchers **

 

Creating a New Template 

 

Click Design & Create > Templates on the main menu.


You have three tabs to complete “Basics”, “Images” and “Design” 

You can create a template per voucher type i.e. Monetary or Experience. 

Ensure the verification type selected is Voucher Number so this can be redeemed by Hop.

Then add your header and footer images.  Example below.

Designing a Monetary Voucher 

Click Design & Create > Vouchers on the main menu.

Then click the "Create New" button on the right-hand side.

There are four tabs called "Template", "Details", "Images" and "Revenue". Select the template you wish to use, then navigate to the next tab. Here you select which type of voucher you wish to use (Monetary or Experience) along with information such as the voucher name, the voucher description and the selling description and any terms and conditions that are required.

Here, we are going to create a voucher called "Hop Monetary Voucher".

The next tab allows an image to be added to the voucher. The last tab is for revenue and allows you to configure a minimum and maximum value of the voucher and what increments you can buy the voucher in. Here our voucher will be between £100 and £500 and go up in increments of £50.

Designing an Experience Voucher 

The process is similar to designing a monetary voucher. However, you need to consider Revenue Centres (which is the same as Articles in Hop). Navigate to the left-hand menu and go to Settings > Revenue Centres

Here, you will need to create the Articles that are in Hop that you would like to display on an experience voucher (E.g. Accommodation and Alcohol). The Mapping Code must correspond to the Article Code in Hop.

Now, back to designing and creating the voucher. "Experience" should be selected as the Voucher Type on the Details tab. Finally, the Articles/Revenue Centres should be selected on the "Revenue" tab that are going to be included as part of the voucher.

 Generating an Order 

To generate an Order and Voucher Code to be consumed in Hop, navigate to the left hand side menu and choose "Orders", then click "Create New".

You will then see the list of vouchers available. Find the one you want then click "Add". Here, we will be using our "Hop Monetary Voucher" voucher that we created previously. 

 


You then select the value of the voucher and you also personalise it.

It will then add the voucher to the basket. Click "Create Order", complete the order form, then click "Complete Order".

An Order Summary is then displayed, along with a link to view the order details.

The Voucher Code is highlighted in yellow. This is the code that is needed for redemption in Hop.

Redeeming a Voucher in Hop 

If HopGift is active a button called "Apply HopGift Voucher" will appear on the transaction viewer for RES, RESX and House Accounts.

Clicking it will launch the following modal allowing a Voucher Code to be entered.

If the Voucher Code is valid, the details will be retrieved. The pop up will always be pre-populated with the outstanding balance from the RES, REX or House Account.

Once redeemed, the value left on the voucher is decreased to £50 and a payment of type "Voucher" pays for the £250 accommodation in the PMS.

Redeeming an Experience Voucher - 

When a Voucher Code for an experience voucher is entered the elements of the voucher are displayed. If there are no transactions in Hop, then nothing can be redeemed.

If the correct transactions are present then the voucher can be redeemed. So here, the receptionist can redeem both accommodation and alcohol elements of the voucher.

Redeeming Voucher on the Booking Engine

Only monetary vouchers can be redeemed on the booking engine. Any experience vouchers require a user to phone the hotel. 

The voucher is entered into the box under the HopGift voucher code under the booking summary.

If an experience voucher is used the user is told they need to phone the hotel. We do not redeem experience vouchers through the website due to the complexities and possible issues around availability.

 A monetary voucher will reduce the balance as applicable.

The automatic payment service takes payment depending on the policy that has been set up against the rate plan that has been booked (X days before etc). The voucher is applied from room 1 until it has been consumed. Let's take the following examples:
