November Feature Notes
We’re consolidating all Guest Communications sub-menu items into a single option in the main menu. This includes Email Configuration, Templates, SMTP, Email/SMS Content and Email Log sub menus. This change is to support a more intuitive system structure.
Ability to customise emails prior to sending for manual emails.
We have introduced the ability to preview and amend confirmation emails, resending of cancellation emails and any reservation or reservation item manually triggered email templates.
We have split bookings into Online and Manual so you can now have automatic emails for both methods or if you wish to have more control over confirmations you can now select to send these manually this could be due to adding in more personalised information before sending.
If you wish to edit the confirmation email before sending.
The email sent with content is stored in the Email Log.
You can also amend any of your custom templates these are Reservation and Reservation Manually Triggered templates.
In the drop down menu select Custom Email. You can choose the template and recipient and edit using the pencil icon. Ensure you click Send with Changes once finished.
Sending an invoice, you can now select different recipients or add a new recipient in reservations.
We have added the ability to choose who you wish to send an invoice to for a reservation. You can choose existing Booker or Guests or alternatively add in a new email address.
You can then choose the template and recipient for the email and see the preview of the email.
New Daily Guest Movements Report.
We have created a new Daily Guest Movements report under Reports > Management. This provides a daily overview of guest arrivals, stayovers, and departures, along with total rooms booked and occupancy information.
Please note the calculation for the Turn % is Turn % = (Arrivals − Stayovers) / Departures × 100.
This report can be filtered for a date range with selectable columns and is available for download in PDF and Excel formats.
Option to add a value for the Automatic Payment Service.
We have added the option when creating automatic payment rules to add a value as well as a percentage amount.
For values you can add this as a charge per adult.
Percentage rules remain unchanged.
Please note if the value amount is more than the total rate the Automatic Payment Service will only take the total rate amount.
Reservation and Rate Updates
Rate Plan filtering based on availability when creating a reservation.
For properties with a large number of rate plans and packages, you can enable a setting that filters rate plans during reservation creation. This ensures that only rate plans that are available and meet the selected criteria are displayed.
To enable this feature, go to Administration and activate the setting shown below.
Alternatively, you can contact the Support Team, and they will enable it for you.
Adding the total cost to the rates tab on the room.
We’ve added the total cost to the Rates tab on the room next to the Refresh Rates button you’ll now see the full total, making it easy to verify how any changes to nightly rates affect the overall cost.
Ability to refresh all rates on Group Reservations.
For group reservations you can now bulk refresh all rates, if you make any changes you can then refresh all the rates to the most up to date costs.
Rate plan name and total rate has been added to the Room Schedule pop up.
To provide more information at a glance, we’ve added the rate plan and total rate cost to the room schedule pop-up.
New column added to the arrivals report.
To assist with reporting we have added the Rate Plan Bucket field as a new selectable column on the Arrivals Report.
Guest address custom field added as an option for email templates.
We’ve added the Guest Address custom field as a new option within all email templates. This enhancement allows you to easily include a guest’s full address in any outgoing email. It’s especially helpful for businesses that need to print and physically mail copies of their communications, ensuring all required information is available in one place.
Ability to add base number of adults to Rate Plan Packages.
To give properties more flexibility on pricing for packages you can now add in a base number of adults for the package price any additional adult supplements will only be added if more than the base number of adults.
Make room configuration mandatory for manual bookings.
In Administration settings, you can now require room configuration to be completed for all manual bookings. This ensures that every booking includes the necessary room details upfront, helping maintain accuracy and consistency across your reservations.
